Institutional Data Policy Training In order to gain access to University Development systems, all users must complete the Institutional Data Policy training on Carmen within one (1) month of my hiring date, or from the date being granted access to University Development Data. Information on how to enroll in the training can be found at https://ocio.osu.edu/itsecurity/training/

TAS Navigation & Constituent View       Learn how to navigate through the Advancement System.  TAS is the comprehensive system used to process and track gifts, keep biographic information up to date from all alumni and donors, steward donors and alumni and market to our many audiences.  You will learn about the three different types of constituent records and the information that is contained on each record.  You will practice searching for records and review where revenue, communications, interactions, and educational information are located on each record.

Session length: 4 1/2 hours
Prerequisite: Institutional Data Policy Training

TAS Student Employee Training   This training session is designed to teach student employees how to navigate through the Advancement System (TAS).  Students will learn about the three different types of constituent records and the information that is contained on each record.  During the session you will practice searching for records and review where information is located on each record.

Session length: 3 hours
Prerequisite: Institutional Data Policy Training

Prospect Management    Learn about the functional area in TAS that allows you to track potential donors to OSU.  During the session you will learn about the My Fundraiser Page, tour prospect records, create and edit prospect plans and the use of interactions and contact reports.  You will also learn how to navigate a constituent’s Wealth Ratings page. 

                    Session length: 3 1/2 hours
                    Prerequisite: TAS Navigation & Constituent View
 

Correspondence & Gift Acknowledging   The correspondence and gift acknowledging processes in TAS allow users to create a mailing which is systematically noted on a constituent’s record.  During this training session you will learn how to run a gift acknowledging process, create an output file containing gift information and learn how to merge this data into a template to thank the donor for their gift to OSU. . 

                    Session length: 1 1/2 hours
                    Prerequisite: TAS Navigation & Constituent View


Fund View      
The Fundraising area in TAS allows you to view gifts to current use, endowment, pending endowment and distribution funds.  During the session you will practice searching for funds, view detailed information about the fund and identify any monies being held.  You will also learn how to generate reports that will list all gifts to a specific fund, home department, or department org during a specified time period.

Session length: 1 1/2 hours
Prerequisite: Institutional Data Policy Training 
and completed Permission form.  A completed and signed copy of The Ohio State University Foundation Advancement System Fund View Permission Request form must be received by the Donor Relations & Stewardship department before attending this training session.  The request form is available at  https://www.ud.osu.ed/UDWeb/Training/downloads/Fund_View_Permission_Request_Form.pdf

DMS (Document Management System)     Advancement’s electronic Document Management System houses substantive alumni and donor documents for long-term storage.  This training will help you learn how to search and retrieve documents such as correspondence, processed gift documents, gift agreements, pledge documents, Presidents Club Benefits Forms, Research Profiles, etc.  Additionally, participants who have an office at 1480 W. Lane Ave. will learn how to upload documents to the DMS from their desktop.

Session length: 1 hour
Prerequisite: TAS Navigation & Constituent View

My Reports    Learn how to use the Ad Hoc query tool to create, modify and view user generated reports. During this two-day training session you will practice using the Ad Hoc query tool to produce simple reports in a constituent format – biographic download, biographic mail merge, biographic profile, biographic profile expanded, donor summary, revenue list, or revenue list download.

During Day 1 you will learn the steps for preparing a report and the seven report formats that are available in My Reports.  You will practice using the Ad Hoc query tool to add a report, save a report and edit a report.  The focus of Day 1 is on biographic reports.

During Day 2 you will learn how to import a list of lookup ids to create a selection. The focus of Day 2 is on revenue reports.

You must complete My Reports Day 1 before attending My Reports Day 2.

Interactions vs. Contact Reports    All TAS users have the ability to add an Interaction to a constituent’s record.  During this workshop you will learn when to record an Interaction and the difference between an Interaction and a Contact Report.  You will also learn which record the Interaction should be added to and who to list as an additional contactor.
